Information we collect

When you use our website or Start Here inquiry form, we may receive your name, email address, phone number, preferred contact method, a short description of your needs, and any choices you make about receiving the FWN Tax Brief. If you email, call, or message us, we receive the information you provide and records of our communications. Squarespace and similar website tools may collect technical information such as device/browser details, IP address, pages viewed, and cookie or analytics data. We use that information to operate and understand the site.

If you become a client, we may collect intake answers, tax and bookkeeping records, identity and contact details, documents, signatures, payment information, and communications needed for the agreed work. Client tax documents are different from a general website inquiry. Please do not send Social Security numbers, tax returns, bank details, identity images, or other sensitive records through the public Start Here form or ordinary email. Use the secure submission method FWN identifies for your engagement.

How we use information

We use information to respond to inquiries, determine whether and how we can help, provide and administer agreed services, communicate about your work, maintain records, protect our systems and clients, process payments, and meet legal or professional obligations. We use a Tax Brief opt-in for the FWN Tax Brief and related general updates. You can ask us to stop those messages. We do not treat a website inquiry or newsletter opt-in as permission to use tax return information for unrelated marketing.

How information is shared

We use service providers as needed to run the website and practice, including Squarespace for the site, HoneyBook for lead and client workflow, Google services for business communications and restricted storage, TaxSlayer for tax preparation and e-filing, and payment or bookkeeping providers when relevant to a service. These providers receive information needed for their roles, subject to their terms and applicable safeguards. We may share information with government agencies, professional advisers, or others when required or permitted by law, needed to deliver an authorized service, or directed by you.

Tax return information receives additional protection under Internal Revenue Code section 7216 and related rules. We use or disclose it for return preparation and permitted purposes, or with a separate valid taxpayer consent when required. This website policy, a general inquiry, or a marketing opt-in is not that consent. We do not sell client tax return information. A refund-related bank product is considered only when offered and elected through its separate terms and applicable authorization.

Security and retention

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information and review the providers and access used in our work. No internet transmission or storage system is risk-free. We retain information as needed for the services, legitimate business records, legal and tax obligations, dispute handling, and our written retention practices, then dispose of it securely when appropriate. We do not promise a single retention period for every record because requirements differ by record type.

You may choose whether to submit a general inquiry or opt in to the Tax Brief. You may ask us to correct contact information or discuss a request concerning information we hold, subject to applicable recordkeeping duties.
